1. Who we are

BusyVan is a trading name of Individual Entrepreneur Mikhail Beliakov, Davit Mamuladze Street, N 19, Floor 4, Apartment N4-8, Batumi, Adjara 6004, Georgia. We are the controller of the personal data described in this policy: we decide why and how it is used.

BusyVan runs Facebook and Instagram enquiries for UK heating and boiler installers. This site, and the AI assistant you can chat to on it, are how installers find out about the package.

2. Homeowners

The assistant on this site is for installers. If you are a homeowner who contacted an installer that uses BusyVan, that installer decides how your data is used, and we process it for them under our agreement with them. Please contact the installer first. If you cannot reach them, email us.

3. What we collect

What you type into the chat with the BusyVan assistant, and the details you choose to give it: your first name, mobile number, company, the area you cover, where your enquiries come from now, and the best time to call.

A random visitor ID, which the chat keeps in your browser's local storage so that a returning visitor sees the same conversation.

Your IP address and browser details, which our hosting providers keep in their security logs.

Page views on this site, counted without cookies.

Only if you accept analytics cookies: which pages you view, how you reached this site (for example from an ad), your device and browser type, and your approximate location, collected by Google Analytics.

4. Why we use it, and our lawful basis

To answer you and arrange a call with our team. The lawful basis is taking steps at your request before a contract, and our legitimate interests in running our business.

To see which pages and ads bring installers to this site, with Google Analytics, only if you accept analytics cookies. The lawful basis is your consent, which you can withdraw at any time (section 10).

To keep a record of enquiries and follow them up, to improve the assistant, and to understand how the site is used. The lawful basis is our legitimate interests.

To keep the site and the chat secure and to prevent abuse. The lawful basis is our legitimate interests.

To meet our legal obligations. The lawful basis is legal obligation.

You can object to processing that relies on our legitimate interests (section 9).

5. The assistant is an AI

The chat assistant is an AI, and it is set up to say so in its first message. An AI provider generates its replies, so what you type is sent to that provider (section 6). Our team reads conversations to follow up with you, and can take over a chat.

6. Who receives your data

Big Chats, the chat platform that runs the assistant. We run it, and it uses hosting and database providers, including Supabase.

The AI provider that generates the assistant's replies: OpenAI.

Our website host, Vercel, which serves this site.

Google, if you accept analytics cookies: it runs Google Analytics.

Meta, if you contact us on WhatsApp, Messenger or Instagram. Meta runs those channels under its own privacy policy.

Our providers process data on our instructions and for no other purpose. We may also share data where the law requires it. We never sell personal data.

7. Transfers outside the UK

We are based in Georgia, and our providers are in the US and the EU, so your data leaves the UK. Where it does, we rely on the safeguards that UK law allows, such as adequacy regulations or standard contractual clauses approved for use in the UK, so that it stays protected.

Google Analytics data goes to Google LLC in the USA, under the UK Extension to the EU–US Data Privacy Framework.

8. How long we keep it

We keep a conversation, and the details you gave in it, for as long as we need them to follow up with you and to keep a record of enquiries. We delete them when you ask us to (section 9). Our hosting providers keep their security logs for the periods they set. Google Analytics keeps its data for 14 months.

9. Your rights

You can ask us for a copy of your personal data, to correct it, to delete it, to restrict how we use it, or to move it to another service. You can object to processing that relies on our legitimate interests. To use any of these rights, email us (section 11).

If you are unhappy with how we have used your data, you can complain to the Information Commissioner's Office (ICO) at ico.org.uk. We would like the chance to put it right first.

10. Cookies and storage

We do not use advertising cookies. We use two cookies for statistics, from Google Analytics, and only if you accept them in the banner. Everything on this site works if you reject them.

The chat keeps a visitor ID in your browser's local storage (section 3), and your cookie choice is kept there too. The fonts on this site are served from this site, not from a third party.

To change your choice, use "Cookie settings" at the bottom of any page. If you reject after accepting, we delete the Google Analytics cookies. The next visit loads no Google code.
